Announcement: Uniform process to withdraw import documentation

As everything in logistics is constantly changing, Portbase has taken a number of steps to improve functionalities. Over the past two years, a working group has submitted a number of requests for the Notification Import Documentation (NID) service. In this article, we share an upcoming feature for the withdrawal request of (incorrectly) submitted import documentation. We are creating a uniform process via the NID web screens for all participating terminals.

New: NID withdraw request via web screens at all terminals

This feature is mainly for withdraw requests via terminals that cannot yet receive a withdraw request via the current NID implementation. With this new feature, we are responding to a frequently heard demand from the community. Currently, the procedure for a withdraw request varies greatly at the various terminals, which causes a lot of confusion.

They indicate that they want a uniform process so that they know immediately what is happening with their withdraw request.

Portbase will therefore facilitate this process in the NID service. This allows us to offer a uniform process at all participating terminals and you, as a user, will see the status of your withdraw request in NID. The new process is expected to go live in the biginning of May. You will receive an email beforehand in which we refer you to the correct documentation on our support website.

What will change for you as a NID user?

The images below are a sample. The final version may differ from the image shown. After the launch, we will share the final screens in a new release note (and accompanying articles on our support website).

As a user, you will soon be able to submit a withdraw request in the NID web screens for the entire document or per equipment/container.

After the withdraw request, the terminal is notified. They take action accordingly, and in NID, you can see after some time whether the request has been accepted or rejected. In the meantime, you see the status: Revocation request submitted to the terminal.

Please note! As an NID submitter, you are fully responsible for submitting import documentation correctly and on time. This was and remains the case; this amendment does not change that.

To be immediately notified of a rejected or accepted withdraw request, you can set up an email notification.

Background

The service NID is used by the community to submit import documentation paperless (and without counters) since early 2012. This stable, essential functionality is also a service with a consistently high number of customer inquiries per year for the same reason.

In recent years, Portbase has unilaterally adjusted processes for those submitting import documentation where possible. From a community perspective, the working group also inquired and investigated whether terminals could be connected to this service in a uniform manner. The working group clearly reported that external factors are decisive in this and are not feasible in the short term.

Therefore, this solution is only possible in a web-based format, and the community can implement it uniformly.
